    Batch alert e-mail in Paya Exchange

    Why did I receive a batch alert e-mail?

     

    Resolution

    This article refers to the e-mail notification with the subject ‘Paya Credit Card Processing Batch Alert!

    There are a few reasons why you may receive this notification:

    • Your account is not set up for automatic settlement, and you have transactions in your open batch. You can log in to Paya Exchange and settle your batch manually from the ‘Batch Management’ mini-app.
       
    • Your account is set up for automatic settlement, but you have 'AuthOnly' transactions ('pre-auths') in your open batch. The automatic settlement only settles Sale, Credit, and Prior Auth transactions. You will need to convert ('capture') your AuthOnly transactions, making them Prior Auths. If you process cards via integrated software, we strongly suggest you do this from within that program.
       
    • Your account is set up for automatic settlement, but a transaction was processed late at night. The system checks for unsettled transactions and sends these emails at around 3 AM EST. If a transaction is processed after settlement, but before the check, you'll receive a notification. 
      • For example, your configuration is set for automatic settlement at 10 PM. You also have a website where people can buy your products online. Your day batch settles at 10 PM, but a customer buys something from your site at midnight. The system checks for unsettled transactions at 3 AM, you see the online purchase, and it sends you the email notification. In this case, you may disregard the email; the transaction will settle in the next night's batch.

    Please note that unsettled transactions expire after 7-calendar days.
